Short and Long Term Rental Policies
CARRIAGE VACATION RENTALS

YOU MUST BE 25 YEARS OLD TO RESERVE A UNIT

Arrival
You will check-in at the Carriage Rentals Office located at 131 Route 100 in The North Commercial Center in West Dover. If you arrive after hours (After 5:00 P.M.), we will leave your Check-In Packet in the box to the right of the door outside our office.

Cancellations
If you cancel after final payment has been made (less than 30 days prior to arrival) you will forfeit your pre-paid deposit and rent less taxes. If Carriage Rentals is able to re-rent the unit, you will receive a refund equal to the amount that the house or condo was actually rented for less the $100.00 cancellation fee. Cancellations received more than 30 days prior to arrival will be subject to a $100.00 cancellation fee. We encourage the purchase of Vacation Rental Insurance. Cancellations must be received in writing by either email at info@carriagerentalsvt.com or fax (802)464-0518.

Check-In Time is 5:00 P.M. and Check-Out Time is 11:00 A.M.

Requests for earlier Check-In or Late Check-Out may be accommodated when possible but are not guaranteed. Late Check-Outs are subject to an additional fee. Unauthorized use of a unit after 11 A.M. will result in a charge of $75.00 per hour.

Check-In Packet
• Short Term Rentals: The Check-In Packet will include: Keys, Map, Unit Information, and a guest registration form for your signature.
 
• Long Term Rentals:  The Check-In Packet will include Keys, A Map, Unit Information and a  “Punch List” to note in writing any damages found on arrival.
 
Cleaning - Short Term Rentals
Cleaning of the rental property is included in the rental price.  You still have the responsibility of washing and putting away dishes and removing all trash and food/drink from the property upon departure.  If we find the property to be excessively dirty, there may be additional cleaning charges imposed.
 
Cleaning - Long Term Rentals
There is a cleaning fee for seasonal rentals that ranges between $50.00 and $150.00.  The owner pays for the cleaning before arrival and the tenant pays for cleaning after departure.  The same professional cleaning person is used.  The tenant may opt to have the cleaning charge deducted from the return of the security deposit.  You still have the responsibility of washing and putting away dishes and removing all trash and food/drink from the property upon departure.  If we find the property to be excessively dirty, there may be additional cleaning charges imposed.
 
Damage Deposit-Short Term Rentals
A damage deposit based on the value of the property and its contents will be authorized, not charged to your credit card at the time of booking.  The property is thoroughly inspected and inventoried prior to and after a stay. Upon arrival please take note of any damage to the property or deficiencies in inventory. During your stay, please report any accidental damages to Carriage Rentals as soon as possible.

Departure
Upon departure, please make sure that the unit is left as you found it.
• Wash and put away all dishes.
• Remove all trash from the property and take all food and beverages with you.
• Turn the thermostat down to 55 degrees unless otherwise specified.
• Before leaving, make certain that all windows and doors are shut and locked and lights are turned off.
• Please make sure that you have all personal belongings.  There is a charge to return items that are left behind
• Return keys to office or lockbox.
Failure to follow these procedures may result in additional charges.
 
Keys and Remote Controls
Two sets of keys will be provided in your Check-In packet.  In the event of lost keys, there will be charge of $50.00 per lock to cover the cost of re-keying.  There will be a charge of $100.00 for each lost remote control.
 
Linens-Short Term Rentals
Linens are included in the price of a Short Term Rental.  Linens are not included in the price of a Long Term Rental but Linen Service is available for a fee.
 
Maximum Occupancy
Our properties are to be used for residential purposes only.  Overnight accommodations are restricted to the number of guests specified in the rental agreement.  Unregistered guests shall be charged an additional $50.00 per night, per guest for non-disclosure of the fact.
 
Methods of Payment
Visa, MasterCard, Check or Money Order
 
Pets
A small number of our properties will permit pets with an additional deposit based on the  value of  the property contents.  Properties that accept pets will be noted in “Overview” section of the property detail page.
 
Reservation Deposits
• For bookings made more than 30 days prior to arrival: 50% of the base rent plus a booking fee is due within five days of making a reservation.  The balance of rent, tax, service fee and any additional charges are due 30 days prior to arrival. The final balance will be automatically charged to the same credit card used when paying the deposit if other arrangements have not been made by the due date.
 
• For bookings made less than 30 days prior to arrival:  All payments are due in full at the time of booking.

Security Deposit - Long Term Rentals
A security deposit of $1,000.00or 10% of the rental amount (whichever is greater) will be taken at the time of booking.  The property is thoroughly inspected and inventoried prior to and after a stay. Upon arrival please take note of any damage to the property or deficiencies in inventory.  Please take time at the beginning of your stay to fill out the provided sheet noting these found items in writing and return to the office as soon as possible.  During your stay, report any accidental damages to Carriage Rentals as soon as possible.  If there are no damages found or missing inventory at post departure inspection, the keys have been returned to our office and there are no unpaid utility charges, the security deposit less final cleaning charge will be returned to you within 60 days.
 
Service Charge - Short Term Rentals
A Service Charge of 8% is added to every short term rental.  This charge covers processing the booking, preparing the unit with linens and making sure that each unit is thoroughly inspected prior to your arrival.  We want everything to be perfect when you arrive.  After all, it is your vacation!
 
Smoking
Smoking is not permitted in any of our rental properties.  If there is evidence of smoking in the unit, your credit card will be charged $250.00 plus the cost to remove all evidence of smoking.  Removing smoke damage may involve shampooing of upholstery and carpets, dry-cleaning of window treatments and bed coverings and changing air filters.  Please smoke only outside with doors shut and properly dispose of cigarette waste.
 
Utilities - Long Term Rentals
The tenant is responsible for all utilities during a season rental.  Electric, Gas/Oil accounts will be switched into the tenant’s name and Cable will be prepaid prior to arrival.  Local Telephone service is usually provided by the owner with long distance blocks in place.  Long distance calls can be made by calling collect or using a calling card. 
 
Vacation Rental Insurance
We are pleased to offer and recommend that you purchase Vacation Rental Insurance.   For your convenience and protection, the fee is automatically added to every reservation.  You may have the fee removed if you notify us with a telephone call or in writing via email at info@carriagerentalsvt.com that you do not wish to purchase the insurance.  You have ten(10) days to review the coverage and decide if you would like to purchase the insurance.  After ten(10) days, the insurance premium is no longer refundable.  For additional information, please call CSA Travel Protection at 866-298-6846 and reference Group plan CSA320.
 
VT Rooms and Meals Tax-Short Term Rentals
A  State Tax of 10% is charged to every rental 30 days or under.

Carriage Rentals makes every effort to insure that all information is as complete and accurate as possible.  We strive to review all website content and print media and update frequently.  Carriage Rentals is not responsible for inadvertent errors or omissions or any unknown changes a property owner may have recently made to their property.
